Overview
Solvara is an AI assistant that connects to your business's Gmail and Google Calendar to read incoming customer emails, reply to them on your behalf, and manage appointment bookings. This policy explains what information Solvara accesses, why, and what control you have over it.
To provide the service, Solvara collects and processes:
- Your Google account information — used to connect your Gmail and Google Calendar when you sign up.
- Email content — the content of emails sent to your connected Gmail address, so the AI can read and respond to them.
- Calendar data — your existing events and free/busy availability, so Solvara can check and book appointment times.
- Your AI settings — the business description, availability hours, tone of voice, and draft‑or‑auto‑send preference you enter when setting up Solvara.
- Account details — your business name and the email address associated with your account.
How we use it
We use this information only to operate Solvara for you:
- To determine whether an incoming email is from a genuine customer.
- To generate a personalised reply that answers the customer's question, using your business description and the tone of voice you've set.
- To check your Google Calendar for availability at the time requested.
- To book an appointment on your calendar when a requested time is free, or to suggest alternative free times when it isn't.
- To send the reply automatically or save it as a draft, depending on your AI settings.
- To label every processed email as "AI Processed" in Gmail, including emails identified as not being from a customer.
Google user data
Solvara's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail and Google Calendar data is used only to provide and improve the email‑reply and booking features described in this policy — never for advertising, and never sold to third parties.
Non‑customer emails
When Solvara determines an email is not from a customer, it does not reply to it and does not act on its content. The email is still labelled "AI Processed" so you can see it was reviewed, but no response is generated or sent.
Sharing
We do not sell your data. Information is only shared with the service providers necessary to run Solvara — for example, the infrastructure that processes emails and generates AI replies — and only to the extent needed to provide the service to you.
Data retention
We retain your account information and AI settings for as long as your account is active. If you delete your account, your data and Solvara's access to your Gmail and Google Calendar are removed.
Your choices
You are in control of how Solvara behaves and what it can access:
- Switch between draft‑only and auto‑send at any time in AI Settings.
- Update your business description, availability, and tone of voice whenever you like.
- Disconnect Gmail or Google Calendar, or delete your account entirely, from Account Settings.
Security
We take reasonable technical and organisational measures to protect your information from unauthorised access, loss, or misuse.
Children's privacy
Solvara is intended for business use and is not directed at children. We do not knowingly collect information from children.
Changes to this policy
If this policy changes, we'll update the date at the top of this page. Continued use of Solvara after changes are posted means you accept the updated policy.
